Equipment Input Process

Equipment and Tools 

Open Equipment Input Pages
  1. To Open Equipment and Tools Input Page - Click on Tab - (see image below)

Equipment and Tools - Add 
  1. Click ADD to open Input Dialog (see image below)
  2. Once you have several inputs - to navigate from input page to input page - Click on Buttons (First Page, Previous Page, Next Page, Last Page)
  3. To View Input Page that is hidden - Use the Scroll Bars

  1. Enter ID #- Enter ID # from Field Document and then Click on your TAB key and Item will appear next to Item Description (see image below)
  2. Identifier - You can create a identifier for this item if needed (Optional)
  3. Look Up ID # - Click to Open Price Data Table for this Category
  4. Add Equipment Note - User can add a note for this input - It will print on the Bill Page - Equipment Notes.
  5. Date - Enter the date show on the Field Document.  You can do one date or start date and end date
  6. Qty - Enter the QTY as shown on Field Document
  7. Add Phase Codes - You must set these up on the Project Settings
  8. Tax Values - MUST be set up on the Project Settings 
  9. Input Item is Taxable - Check box to bill Tax (Even if this box is checked it will not bill a Tax if no values were entered in the Tax Setup
  10. Input Item is NOT Taxable  - Do Not Check the Box
  11. Allocations - there are two options to entering Allocations
    1. Set up Allocation on the Project Settings Dialog
    2. Enter Directly from the Input Dialog - If you do this it will be saved in drop down and on Allocation Setup Table
Billing CAPS and Equipment Terms
If you are needing to Apply Equipment CAPS or Terms -  Note: Equipment Terms must be set up on the Equipment Price List 
Follow instructions below
  1. Include Item for BILLING CAPS (Retail or # Days)  - Check this box and Click ENTER then a Message will appear - Click YES on popup message
  2. Include Items for Equipment Terms (Weekly and Monthly) - Check this box and Click ENTER then a Message will appear - Click YES on popup message

 

Input Notes
  1. To Open Input Notepad - Click on the Button ADD NOTE (see image below)
  2. Input Notes DO NOT print with bill - they are designed for internal use
  3. To Print a Note use toolbar located on the Bottom of Notepad see Notepad Print

Input Notepad
  1. Once a Note is Entered for a Input - The Item on the Input Page will highlight Gray to indicate a NOTE exist
  2. Notes are Stamped with Date and Name - Name is the same that you logged in with.
  3. To Modify or Read an Existing Note - Click On Labor Item and Click Modify then Click on Edit Note on Dialog
  4. When a Note Exist - Item is highlighted in Gray
  5. To View Note or Add to Existing Note - Same Process for ALL Input Categories
  6. Click on Item to Highlight - then Click Modify - Click Edit Note

Equipment and Tools  -  Remove an Entry
  1. To Remove an Existing Entry - Click On the Item you want to Remove - This entire line will highlight (see image below)
  2. Click the button REMOVE - A message will appear to confirm remove of the labor item

Equipment and Tools - Modify an Entry
Modification TIP: Modifications of an existing entry changes the original entry and will change the original billable total - To best protect your original data it is recommended that you save the bill file with a new file name before you modify.  Once modifications are complete and you are satisfied then you can save with the original file name.   This is best practice and a way to protect the original input data.
  1. To Modify an Existing   Entry - Click On the Item you want to Modify - This entire line will highlight (see image below)
  2. Click the button MODIFY - This will open the Modification Dialog (see image below)

  1. IMPORTANT- This is for single modifications - If you choose more than one entry at a time use the Global Modification function.
  2. MODIFICATIONS are basically a new input of the item.  If you make a modification be sure to validate all items on Input Dialog before you click ENTER button.  Items can change due to last input of the same ID # may have been different.
  3. ONCE DIALOG IS OPEN - Make your changes to this input Item and then click ENTER to apply the changes
  4. REFRESH - You MUST refresh the bill after a modification - Hold the CTRL and Press R to Refresh / Recalculate Bill
Equipment and Tools - Sort
  1. To Copy and Paste One or More Inputs
  2. Click on the Input Item you want to Copy and Paste
  3. If more than One and Scattered  - Hold Down the CTRL and Then Click on the Labor Items to Highlight (see image below)
  4. If more than One and ALL are together - Hold Down the SHIFT key and Click on First Labor then Go Click on Last Labor to highlight all (see image below)
  5. Change Date - You can change the date for the item(s)
  6. Keep Same Date - You can keep the same date for the items - remember the duplication rule
