Understanding T&M Go File Management

T&M Go - File Management Best Practice
T&M Go must be used on a daily basis.
It is important that you understand that T&M Go was designed to only allow date/day specific input. 
You must input daily and create a file for each day of input.
Example: We have a project that runs from 02/02/2018 to 02/10/2018 for Client ABC. 
  • We recommend that you open T&M Go and upload the data files that you will use in T&M Pro to bill this client. (Price Data and Project Settings File)
  • Once the Price Data and Project Settings Files are uploaded, you should save the T&M Go file as ClientABC-MasterTMGO.  It will be saved as ClientABC-MasterTMGO.tmgo
  • Now you are ready to start the input. Open T&M Go and then go to top menu File and Click on Load Project and load the ClientABC-MasterTMGO.tmgo
  • Once the File is loaded, immediately go to top menu File and click on Save Project As to save this with a new file name such as ClientABC-020218. It will be saved as ClientABC-020218.tmgo 
  • Start your input for 02/02/18 - Once the input is complete, you are then ready to create your reports and these should be saved as shown in the examples below
  • ClientABC-Labor-020218 | ClientABC-Materials-020218 | ClientABC-Equipment-020218 | ClientABC-SpItems-020218 and the Field Sheets saved as ClientABC-FieldSheets020218 (Repeat Daily)
  • These are the reports used to import into T&M Pro.  You will also need to create the Field Sheets. 
  • Then save and close the file
  • Now you are ready for input for the next day. 
  • Open T&M Go - Load the ClientABC-MasterTMGO.tmgo file and then immediately save project the same as you did above apart from changing the date and proceed with input, creating reports and field sheets. 
  • You will have a T&M Go File, Reports, Field Sheets saved for Each Day of the project.   
Below is the recommended Project Folder Set Up
  1. Every project should have a Main Folder with defined sub folders- See Image Below
  2. (A) T&M GO Master T&M Go File - User should create a Main Project T&M Go File - This will save time and allow you to open this file daily and then immediately save it to the Daily T&M Go Files.  Example file name for Client ABC - You capture data DAILY in T&M Go. You should name your file with the date of the data you are inputting. Example - ClientABC-7202018 and it will save as ClientABC-7202018.tmgo - If you are running Allocation Reports be sure to include the allocation name in the file name. This will save you time and help keep your files in order.
  3. Daily Field Sheets - This is where you save your Daily generated field sheets. It should also include the date in the file name. If you are running Allocation Reports be sure to include the allocation name in the file name. This will save you time and help keep your files in order.
  4. Daily T&M Pro Reports - This is where you save your Daily generated T&M Pro Reports - It should also include the data in the file name. If you are running Allocation Reports be sure to include the allocation name in the file name. This will save you time and help keep your files in order.
  5. Daily T&M Go Files - This is where you save your Daily T&M Go files. See (A) T&M GO Master T&M Go File description above on recommended file name to save daily with date.

 
IMPORTANT NOTICE - POSSIBLE DATA LOSS BY USING PREVIOUS DAY T&M GO FILE WITH FILE SAVE.  Be sure to read statement below
It is never recommended that you open a previous file to use for the next day unless you open it and immediately save it with a different file name.  If you save over the previous day's file by accident you will lose the data for the previous day without any means of recovering the data.  See Recommendation above for Main Folder and Sub Folders
