Project Settings - Hotels / Lodging

To Set Up Hotels and Lodging:

• Under the 'Estimator Data Files' menu, click to open the 'Project Settings File'
  
• Click on 'Open Hotel / Lodging Set Up Dialog' as shown below
  

To Add Hotels:

1. Click the 'ADD' button to open the HOTEL | LODGING SET UP dialog
   

To Enter Hotels:

1. Enter the Hotel Name
   
2. Enter up to three (3) Daily Rates for each Hotel (these should be the actual retail rates)
   
3. Click ENTER to record the rates in the 'HOTEL | LODGING TABLE'
   

To Modify and Existing Hotel:

• Click to highlight the Hotel you want to Modify 
  
• Click on the 'MODIFY' button to open the Set Up Dialog
  
• Make your desired changes, then Click ENTER to record the new data

To Remove and Existing Hotel:

• Click to highlight the Hotel to be removed
  
• Click on the 'REMOVE' button
  
• Click Yes to confirm when prompted

IMPORT/EXPORT Feature

The Import and Export functions enable data compatibility in T&M Estimator with an Excel® spreadsheet, with proper formatting.

Important Note: Your Hotels List should only contain the Hotels associated with the project being estimated. Keeping your list specific to its project reduces mistakes and ensures accuracy.

To Import Hotels:

• Click on the 'IMPORT' button to import your pre-populated hotels list from an Excel® spreadsheet
  
• Your hotel list can be updated in Excel and re-imported as often as needed
  
• Duplicate entries in the 'Hotel | Lodging Table' will be detected and updated with any new imported data

To Export Hotels :

• Click on the EXPORT button to convert your Hotel List to an Excel® spreadsheet 
  
• If you need a blank Excel® Template, simply Export an empty list and save a local copy to your machine for future use
  
• Once you've created your list from the blank template, use the 'Save As' feature to associate it with your estimate
  

To Add Hotel Fees to Your Labor Estimate:

This function allows you to apply hotel fees by Labor Class using the data contained in your 'HOTEL | LODGING TABLE'

The example below demonstrates how Hotel fees are applied while estimating Labor for 2 Project Managers

1. Select the Hotel Name, Total Rooms, and applicable Daily Rate
   
2. Note the 'Daily Rate Factor' is 100%, indicating Single Occupancy [2 total rooms for 2 employees]
   
3. For Double Occupancy, [1 total room for 2 employees] the Daily Rate Factor would display 50%, to accurately pro-rate the fee
